The complete guide
Everything you need, in order
Written for someone who has never used a tool like this. Every chapter answers three things: what it is for, what you do, and how you know it worked.
You do not have to read all of it at once. Parts 1 and 2 are enough to get working today; the rest can wait until you actually need the feature. The table of contents on the left groups it by part.
Part 1
Starting from zero
Four chapters that take you from the sign-in page to a workspace with people in it.
Chapter 1
What KerjaBareng is
Before you press anything, it helps to know the shape of the product. KerjaBareng is one workspace where work is recorded, discussed, and partly done by AI agents that you control.
- An issue is one accountable piece of work — it has a title, a status, a priority and one assignee. That assignee can be a person or an agent.
- A division is a grouping like Marketing or Finance. Each one gets its own chat channel and one agent with the matching skills.
- An agent is not a chatbot. It appears in the assignee list next to people, moves its own work status, and leaves a step-by-step record.
- Company memory is where the house rules live: tone of voice, prices, words you must not use. Agents read it before they work.
- The virtual office is a map where the team is visibly present. You get an avatar and a desk, move between rooms, hear the people nearest you, and open a meeting from the room you are already in.
- Meetings, Documents, and Whiteboards complete it: calls with transcripts, documents you can export in seven formats, and a shared drawing canvas whose permissions follow whatever it belongs to.
There is nothing to install on anybody’s computer. It all runs on the server; you just open the site in a browser or on your phone.
Chapter 2
Sign up and sign in
Creating an account uses your work email. No card is asked for at this stage.
- Open the Sign in page and choose Continue with Google if your work email is on Google.
- Otherwise fill in Work email and press Send sign-in code. Six digits arrive in your inbox; type them in.
- The same button also creates the account for someone who has never signed up — there is no separate registration form.
How you know it worked: You land on the “Create workspace” page.
Chapter 3
Creating a workspace and choosing divisions
A workspace is your company’s “office” inside the product. All your data is enclosed in it and never mixes with another company’s.
- Type your company name. The address (slug) and issue prefix fill themselves in — a company called Dapur Nusa gets issue numbers
DN-1,DN-2and so on. - Tick the divisions you want to try first. Start with one or two; adding more later is painless.
- Press Create. Every division you ticked immediately gets a chat channel and one agent with sensible built-in instructions.
- You enter a five-step guide. Fill it in roughly or press Skip — everything can be changed later in Settings.
- The main assistant, Bystep Agent, always comes along in addition to the division agents. It is the one to talk to when you need an answer that spans divisions.
How you know it worked: The main screen appears with a left menu: Inbox, Approvals, My issues, then your divisions.
One person can have several workspaces — one for the company and one to experiment in, say. Switch between them from the picker at the top left.
Chapter 4
Inviting your team and setting roles
A workspace is only useful once the people are in it. Invitations go out by email, and you decide who may do what.
- At the bottom of the left menu press Invite member, enter the email address, pick a role, and press Invite.
- There are three roles. Owner handles billing and can delete the workspace. Admin manages members, divisions and agents. Member does the day-to-day work.
- The invitation link also appears on screen, so you can send it over WhatsApp if that reaches them faster.
How you know it worked: Their name appears in the member list, and their avatar becomes選 selectable as an issue assignee.
A member only sees public channels and the channels of their division. Private channels and direct messages stay closed until they are invited in.
Part 2
Everyday work
Where work is recorded, discussed, written down, and found again.
Chapter 5
Creating your first issue
The issue is the unit of work here. Creating one has to be fast, or people drift back to a WhatsApp group.
- Press Create at the top right, or simply press the letter
Cwherever you are. - Write a title that names an outcome, not an activity. “Prepare 3 captions for Monday’s promo” beats “Content”.
- Pick a status, a priority, an assignee and a due date if there is one. All of them may be left empty and filled in later.
- For bigger work add staged sub-issues: stage 1, 2, 3. Finishing one stage can start the next.
- Switch layout with the List · Board · Table picker in the toolbar. Your choice is remembered per page.
How you know it worked: The issue appears in the list with its own number, DN-1 for example, and opens from the board or the table too.
Chapter 6
Projects, boards, and saved views
Past twenty issues a flat list starts to hurt. Projects group them, and saved views spare you from setting the same filters every morning.
- Open Proyek in the left menu, create a new project, name it something like Ramadan campaign, and pick an owner.
- Move issues into it from the Proyek field in the issue property panel, or while creating them.
- In the toolbar, switch between Daftar · Papan · Tabel. The board is a drag-and-drop kanban whose columns follow status.
- Set the filters and sorting you use daily, then save it as a view. Your layout choice is remembered per page.
How you know it worked: The project page shows its own issues with a kanban board, and your filters come back exactly as you left them.
Dragging a card on the board really does change the issue's status — everyone sees it, and it is recorded in the issue history.
Chapter 7
Team chat and mentioning agents
Not everything deserves an issue. For the small things, talk in the division channel — and the agent can join that same conversation.
- Open one of the channels under a division name,
#weekly-promofor instance, and write a message as usual. - To involve an agent type
@and pick its name from the list that appears. Picking from the list matters — typing the name alone does not summon anyone. - The agent replies inside the thread on your message rather than flooding the main channel.
- If the conversation turns out to be real work, convert the message into an issue from the message menu.
How you know it worked: The agent’s reply appears under your message with a thread marker and a reply count.
Chapter 8
Inbox: everything that needs you, in one place
The inbox collects whatever mentions you or waits on you, so nothing gets lost between channels and issues.
- Open Inbox at the top of the left menu, or press
GthenI. - It holds mentions, thread replies, issues assigned to you, approvals waiting on you, Digital Deputy actions, and your While you were away briefings.
- Click a row to open its source — issue, message, or meeting — at exactly the right place.
- Decide what is allowed to interrupt you in Settings → Notifikasi: per event type, not one big on/off switch.
How you know it worked: Rows you open stop being marked unread, and the counter in the left menu goes down with them.
Muting a single channel happens in that channel, from the bell menu: Semua pesan, Hanya mention, or Bisu.
Chapter 9
Searching across conversations
Find messages in channels, DMs, groups, or threads you can still read, without moving around or joining an office room.
- Choose Search messages in the chat header, or open the command palette with Ctrl+K / ⌘K and choose Search messages. A search page opens separately from the chat view.
- Enter a search term, then narrow it by Conversation or Sender if needed. Enable Include archived conversations to expand the permitted results.
- Select a result to open the exact message or thread reply. Use the next results or return to the first page to continue searching.
How you know it worked: Titles and snippets appear only for conversations you can read. When access or connectivity changes, results are rechecked and old results are hidden.
Search terms are not stored in the page address or an application search history. Search excludes temporary nearby chat, recordings, and private provider account data.
Chapter 10
Documents: write, review, export
For anything longer than a comment — proposals, minutes, budgets — use Documents. The result exports as PDF, DOCX, XLSX, PPTX, Markdown, TXT, or CSV.
- Open Dokumen, pick a template (Kosong, Laporan, Proposal, Notulen rapat, Anggaran, Presentasi) or press Buat dokumen.
- Give it a title and write. Turn on Editor visual if you prefer editing like a word processor; Sunting and Pratinjau swap at any time.
- Press Simpan revisi to mark a version. Riwayat revisi keeps the last 50, and Pulihkan brings an old one back as a new revision.
- New documents are Privat. Switch to Workspace if every member may read it, or open Kelola akses to invite specific people as Pembaca or Penyunting.
- To write together, the owner presses Aktifkan penyuntingan bersama. After that changes save themselves, and Simpan versi creates a quick restore point.
- Select text and choose Komentari teks terpilih to review; an editor closes the thread with Tandai selesai.
How you know it worked: The indicator above the editor reads Semua perubahan tersimpan, and Unduh produces a file in the format you picked.
The limit is 50,000 characters per document. If the connection drops, the page says so and offers Unduh draf Markdown — keep the tab open until it reconnects. Agents can also draft documents through Buat dengan agen, which spends the workspace AI quota.
Chapter 11
Shared whiteboards
When a discussion is easier drawn than written, open a whiteboard. It always belongs to a meeting, a document, or an office area — never a link standing on its own.
- From a meeting, a document, or an area card in the office, press the whiteboard button, then Buat papan tulis if there isn't one yet.
- Pick a tool: Catatan tempel, Teks, Persegi panjang, Elips, or Gambar bebas. Double-click an object to edit its text.
- Connect two objects with an arrow to show order or cause and effect.
- Press Simpan titik simpan before a big change; Pulihkan rolls the board back to that point for everyone.
- Ekspor saves the board as SVG or PNG.
How you know it worked: The Semua perubahan tersimpan indicator appears, and people in the same meeting or area see your objects without reloading.
Permissions follow the parent: a board on a finished meeting becomes read-only, and a board on an office area can only be edited by people currently standing in that area. Per board: 500 objects, 500 arrows, 20 people, 10 restore points.
Part 3
The virtual office
The space where the team is visibly present: a map, desks, nearby audio, shared focus, and guests. Entering the office turns on nobody's microphone or camera.
Chapter 12
Entering the office and reading the map
The virtual office is a pixel map of rooms and desks. The point is simple: know who is around, where, and whether they can be interrupted — without asking.
- Open Kantor virtual in the left menu. Even before entering you can see the map in Pratinjau kantor mode.
- Press Masuk kantor. Pick a character and colours in the Ubah avatar dialog and save — your avatar appears in the lobby.
- To move: click the floor you want, or focus the map and use the arrow keys or WASD. The Ruang & area panel also has Pindah ke ruang.
- The Rekan panel on the right shows who is present and in which room. Temukan highlights them, Sapa sends a wave, Pesan opens a DM.
- When you are done, press Keluar kantor.
How you know it worked: The dot in the header turns into Hadir di kantor and your avatar is visible to anyone with the same page open.
Entering only shares your avatar and position. Audio starts only after you choose it, and the camera only on a meeting page. Presence expires by itself when the connection drops, so nobody stays visibly "present" with a closed laptop.
Chapter 13
Areas, desks, and the floor plan
The default plan already has a lobby, team areas, a meeting room, a focus zone, and a lounge. Owners and admins can rearrange it to match how the team works — safely, because changes are made as a draft.
- Anyone can take a desk: click an empty one and press Pakai meja. It stays yours until you press Lepas meja. Decorate it if you like.
- An owner or admin presses Edit draft denah in the header. Everything in the editor is private and does not touch the office people are using.
- Add areas with Tambah area, or start from the team, focus, or social templates. Set name, kind, colour, capacity, position, and size; add desks with Tambah meja.
- Press Simpan draft to save with no effect at all. When you are sure, use Tinjau penerbitan and then Terbitkan draft tersimpan.
How you know it worked: Once published, the new map is immediately visible to every member and the confirmation Denah kantor diterbitkan. appears.
Limits: 30 areas, 200 desks, 1–50 people per area, and exactly one public lobby. Publishing a new plan cuts nearby audio and can end area conversations in progress — publish while the office is quiet.
Chapter 14
Who may enter: area access and knocking
Not every room should be open to everyone. Area access decides who may enter, and knocking gives a polite route in for people who do not have access yet.
- The area's creator presses Akses area on the room card and picks Semua anggota workspace, Undangan manual, or Anggota divisi terkait.
- For division mode, choose the Tim terkait. For manual invitations, add people one by one under Akses anggota.
- Tick the statement that you understand the effect, then press Terapkan akses.
- If you are the one trying to get in: open the Permintaan masuk ruang panel, choose the room, press Minta akses, and wait for the room owner to press Terima.
How you know it worked: The badge on the room card changes to the mode you chose, and an accepted request becomes an invitation you can revoke later.
A knock expires by itself after five minutes or when you leave the office. Changing an access policy ends conversations running in the office and cuts nearby audio — microphones do not come back on by themselves.
Chapter 15
Private desks and desk conversations
A private desk creates a quiet zone around you, and lets you hold a small call with people you choose without opening a meeting room.
- Claim a desk with Pakai meja, then press Percakapan meja on it.
- Choose the Jenis meja: Terbuka follows the room policy, Privat creates a 3 × 3 tile quiet zone.
- Tick the impact statement and press Terapkan jenis meja.
- To talk, select the people you want (up to 12) and press Buat panggilan dengan audiens terpilih. If a call already exists, the button becomes Buka rapat.
How you know it worked: Your desk shows the Privat · zona tenang 3 × 3 badge, and people passing through that zone neither hear you nor are heard.
Only the current desk holder can set the desk kind or create its call, and you have to be standing next to the desk. Changing the kind ends a call in progress. Worth knowing: once you release the desk or it changes hands, recordings from that desk call are queued for deletion — download them first if you still need them.
Chapter 16
Nearby audio and nearby chat
Two ways to talk casually without scheduling anything: voice for the people closest to you, and text that is deliberately not kept.
- Stand in an open area and press Aktifkan mendengar in the Audio sekitar panel. You hear up to three of the nearest people within six tiles.
- To speak, press Nyalakan mikrofon — a separate step, so listening never makes you audible.
- For quick text, press Ikuti chat sekitar in the sidebar, type, and press Kirim.
How you know it worked: The label becomes Mendengar rekan di sekitar, and while you speak, Mikrofon aktif · rekan terdekat dapat mendengar.
Nearby audio switches itself off in private rooms, locked rooms, meeting rooms, during a focus phase, and while your status is unavailable. It is never recorded or transcribed. Nearby chat lasts two minutes at most, disappears when you change area, is invisible to people who arrive later, and is not covered by message search — for anything you need to find again, use a channel or a DM.
Chapter 17
Shared focus, status, and status objects
The office is not only for talking. Shared focus agrees on quiet time, and status objects put the state of the work on the wall of a room.
- For yourself: press Fokus 25 menit in the bar under the map. Your presence status follows, and it ends on its own.
- For a room: open Fokus bersama, set Fokus (menit), Istirahat (menit), and the number of cycles, then Mulai sesi. The timer runs on server time, so it stays accurate even when your tab sleeps.
- Jeda and Lanjut are available to whoever started the session and to area managers. Focus zones stay silent in every phase.
- To show the state of the work, press Buat papan status baru, choose a Sumber status you are allowed to see, and pick its shape: Lampu status, Kotak antrean, or Monitor.
How you know it worked: Everyone in the room sees the same timer and which cycle is running, and status objects read Sedang bekerja, Selesai / sehat, Perlu perhatian, or Bermasalah.
Focus session limits: 1–120 minutes of focus, 1–30 of break, 1–8 cycles, four hours in total. Status objects only read; they never run an agent and never change any work.
Chapter 18
Taking a break together
Short breaks taken together are why people keep the office open. All of it is optional and only applies to people currently in the same room.
- Send a reaction from the Kamu bar: Tepuk tangan, Terima kasih, Rayakan, Istirahat kopi, or Sapa.
- If the room manager enabled it, press Sapa maskot to greet the room mascot.
- Play Pola Bersama: press Mulai dan bergabung, then tap tiles on a nine-light board — each tap flips that light and its neighbours. You win when every light is off.
- A room manager may paste a Spotify Jam invite link with Simpan tautan; people in the room open it with Buka undangan Spotify di tab baru.
How you know it worked: Reaction animations appear on the map for everyone in the same room, and the game board looks identical to every player.
Quiet mode pauses sounds and games automatically when your status is focus, meeting, or unavailable, and inside focus areas. Celebration sounds always need your browser's permission. Game limits: 20 minutes, 200 moves, 12 players. Music is not played inside KerjaBareng — only the link is shared.
Chapter 19
Finding people and rooms in the office
Once the office is busy, stop circling the map. Search instead.
- Use the Orang dan ruang box in the office sidebar, or press
⌘K/Ctrl+Kand type a person's or a room's name. - Move through results with the arrow keys and press Enter to see the detail.
- From a person result you can go straight to Temukan, Sapa, or Pesan.
How you know it worked: A counter line says how many office results are shown, and closed rooms are marked Ruang privat or Perlu akses.
Choosing a result does not move your avatar and does not put you into the office — moving stays your decision. Where someone is standing in a room you may not see is simply not shown.
Chapter 20
Mini Mode: the office in a small window
You do not have to stare at the map all day. Mini Mode keeps presence and the people list in a small window while you work in another app.
- In the office header, press Mini Mode. A small window opens with your status, the people list, and remaining focus time — no map.
- If your browser supports it, press Mini selalu di depan so the window floats above the others.
- From Mini you can change Status saya, search for people, and press Kembali ke jendela kantor.
How you know it worked: The Mini window shows how many people are present and keeps up with changes without you refreshing it.
Mini only observes: it does not enter the office for you, does not start media, and closing it does not take you out of the office. Microphone and camera controls appear only in the floating window, and even then they only steer a connection already running in the main window. If your browser blocks the pop-up, use the Buka tampilan ringkas link.
Chapter 21
Welcoming guests to one room
Invite someone for a limited visit without making them a workspace member. A guest’s display name is not a verified identity.
- As an authorized host, open Guests in your meeting or the area you are visiting. Set the link use limit (1–5), create it, then share it yourself with the intended visitors. The link lasts 24 hours.
- The guest enters a name and chooses Request entry. Review check-ins, then choose Admit or Deny. Every visit needs fresh approval while the host is connected and present.
- For a call, the host selects their own active call for guests approved next. Guests choose the required media permissions before joining. Remove ends a visit; Revoke link closes the invitation.
How you know it worked: Guests see only the approved area and, if selected by the host, its associated call. A visit lasts at most two hours and can end earlier.
A visit does not grant access to workspace chat, documents, saved transcripts, or recordings. Guests in a call see chat only from when they joined during that visit.
Part 4
Meetings
From a quick call inside one room to recordings and a draft summary.
Chapter 22
Creating and running a meeting
Meetings here are not links from another app. Invitations follow workspace membership, and the results — transcript, notes, decisions — stay where the work is.
- Open Meeting, press Buat meeting, fill in Judul meeting and Agenda, then choose who is invited (members or divisions). Fill in Jadwal (opsional) if it is scheduled.
- Leave Aktifkan transkrip otomatis on if you want automatic notes, and pick the spoken language.
- The host presses Mulai meeting. Participants press Siapkan kamera & mikrofon, choose devices, then Gabung meeting — microphone and camera start off.
- During the call: Bagikan layar, Angkat tangan, send reactions, and type in Percakapan meeting.
- Write decisions in the Catatan tab and press Simpan catatan. Simpan sebagai dokumen copies them into a document of their own, which does not disappear with the transcript.
How you know it worked: The meeting status becomes Berlangsung, the number of connected participants shows above the panel, and the transcript fills itself in on the right.
Limits: 15 people per room, 2 rooms active at once, 4 hours per meeting. Notes, agenda, and transcript are kept for 90 days after the meeting ends — the host may delete them sooner. Automatic transcripts can be wrong; check names, numbers, and decisions before relying on them.
Chapter 23
Internal schedule and reminders
So that scheduled meetings are not missed, KerjaBareng shows the nearest ones where you already look, then reminds you shortly before they start.
- The Jadwal internal berikutnya card on the Meeting page lists up to five meetings in the next seven days that you may access, with a countdown.
- To change the time, the host opens a meeting that has not started, presses Ubah jadwal, picks a new time, and presses Simpan jadwal.
- Shortly before the start, a reminder appears as a banner in the corner and as a row in the Inbox. Press Buka rapat to go straight in, or Tutup to mark it read.
- Do not want reminders? Turn off the Pengingat rapat internal group in Settings → Notifikasi.
How you know it worked: The countdown turns into Waktunya tiba · menunggu host, and the banner only shows while it is still unread.
The card and the reminder never start a meeting, never join you, and never switch on a microphone. Reminder text is deliberately generic — the title, agenda, and participant list are not sent with it. Reminders live inside the app only: no email, no external calendar notification.
Chapter 24
Recording a meeting
Recordings help whoever could not attend, but they must never be quiet. Here a recording only runs once everyone connected has consented.
- Before joining, each participant ticks consent to audiovisual recording for that visit.
- The host presses Mulai rekaman and confirms in the Rekam rapat ini? dialog.
- Any participant may press Hentikan rekaman. The host can also end the meeting to finish it.
- Once the status is Siap, open the Rekaman tab and choose Putar rekaman or Unduh MP4.
How you know it worked: The indicator moves from Rekaman berlangsung through processing to Siap, and a recording card appears in the Rekaman tab.
Things to know first: one recording session lasts at most an hour; the result is kept 30 days; only people who had already joined when recording started can open it — latecomers cannot; if the host disconnects before it finishes, the unfinished recording is discarded; and recordings from a private desk call are deleted as soon as that desk is released or changes hands.
Chapter 25
An AI draft from the meeting transcript
Writing up minutes after a meeting is the task most often postponed. The AI draft reads the transcript and prepares the skeleton — for you to check, not to send.
- End the meeting first; a draft can only be made from the transcript of a finished meeting.
- The host opens the Draf AI tab and presses Buat draf AI. It can take about a minute and you may leave the tab.
- Check the Ringkasan, Keputusan, Tindak lanjut, and Pertanyaan terbuka sections. Periksa sumber asli shows the transcript quotes behind them.
- When it is right, press Salin draf untuk ditinjau and paste it into the Catatan tab or a document.
How you know it worked: The draft appears with source quotes you can open one by one.
This draft is private to the host — other members never see it. It does not replace the notes, does not create issues, and does not send anything. Limit: 3 attempts per meeting per hour. If the transcript changes after a draft is made, the draft is marked stale and should be regenerated.
Chapter 26
Calendar companion setup
An optional Chrome extension package helps add your selected KerjaBareng meeting link to the Location field of an event draft. It does not sync a Calendar account.
- For any meeting, the Unduh kalender (.ics) button in the header produces a calendar file that any calendar app can open. This always works and needs no connected account.
- Open the setup guide, download the ZIP, and extract it to a permanent folder. In Chrome, open chrome://extensions, enable Developer mode, then choose Load unpacked and that folder.
- Sign in to KerjaBareng. Open the full Google Calendar event editor in English or Indonesian, click the extension icon, then choose a workspace and meeting you can access.
- Review your selection and approve adding the link to the draft. Review the draft in Calendar; you decide when to save or send invitations. A meeting link does not grant new access.
The package is available for manual installation and has not been published in the Chrome Web Store. Testing with a real Google Calendar account is still pending; an unrecognized or changed editor cancels insertion.
Open the setup guide and extension packagePart 5
AI teammates
Agents you assign like people, behind guardrails the server enforces.
Chapter 27
Assigning an agent and reading what it did
This is the part that makes this product different. Assigning an agent is exactly like assigning a person — you pick it in the assignee field.
- Open the issue, click the Assignee field, and pick an agent’s name. The Marketing agent is called Kira, Finance & Ops is Rani, and so on.
- Within seconds the status changes to In progress and a “working” marker appears next to the title.
- About fifteen seconds later the status becomes In review and the result lands as an ordinary comment on the same issue.
- Click the latest run in the history to open the transcript: which tools it used, which data it read, and what it cost in rupiah.
How you know it worked: There is one new comment from the agent, the status has moved to In review, and the transcript opens.
If the result is off, write a comment with the correction and mention the agent with @ — it will redo the work with your note. Any correction that is really a rule belongs in Company memory, two chapters further down.
Chapter 28
Approvals: the fence before an agent acts outward
An agent may draft anything inside the workspace. But the moment an action leaves the company — sending, posting, paying — it has to ask first.
- When you create the issue, say it plainly: “draft the message, then request approval before sending”.
- The agent’s request appears under Approvals with a preview of exactly what it would do.
- Choose Approve, Ask for revision or Reject. Asking for a revision restarts the agent with your note; ⌘⏎ approves without leaving the keyboard.
How you know it worked: The approval queue empties again and your decision is recorded in the history, with the time and the reason.
An agent cannot skip an approval. The gate is enforced server-side, not merely requested in a text instruction.
Chapter 29
Company memory
This is what makes agents more useful week by week. Every house rule you store is read by an agent before it works.
- Open Company memory and press Add knowledge.
- Pick a category — tone of voice, forbidden words, product prices, internal process, or a decision — then write the rule in one short sentence.
- A good example: Never write “cheap”, write “value”. A bad one: Write well — too vague to obey.
How you know it worked: Redo the work that came out wrong; the agent’s output now follows the new rule.
Agents may also propose new memory entries from what they learn, but a proposal always waits for your approval before it takes effect.
Chapter 30
Scheduled routines
Work that repeats every day or every week should not need remembering.
- Open Routines, press New routine, and give it a title like Morning sales recap.
- Choose the agent that runs it, write the instruction, then set the schedule — every day at 09:00 Jakarta time, say.
- Say which channel the result posts into, so the team reads it without opening the Routines page.
How you know it worked: The routine card shows “Next: tomorrow 09:00”, and Run now proves it without waiting until tomorrow.
Chapter 31
Skills: writing down a way of working, once
When a way of working is always the same — a report format, the order for handling a complaint — write it as a Skill so every agent uses it.
- Open Skills, press new, and write the steps in plain language.
- Attach an example file if it helps — the report template you already use, for instance.
- Attach the Skill to the relevant agents. One Skill can serve many agents at once.
How you know it worked: The next run’s transcript shows a load_skill line — proof the agent really read it.
Part 6
A team that is never quite offline
Presence, a deputy that answers while you are away, and a briefing when you return.
Chapter 32
Presence: status, working hours, and holidays
Presence answers the question distributed teams ask most: can this person be interrupted right now? The answer is built from the status you choose, your working hours, and the Indonesian holiday calendar.
- Click the avatar stack in the top bar to open Tim sekarang. People are grouped into Tersedia, Sibuk, Cuti / tidak di tempat, and Offline, with their role, local time, and the issue they are working on.
- Set your own status under Status saya: Otomatis, Fokus, Rapat, Tidak di tempat, or Cuti.
- Open Pengaturan… to set your working days and hours and your timezone — WIB, WITA, or WIT. Outside those hours your status reads as off-hours automatically.
- Fill in the Catatan serah terima before leave. Susun otomatis dari issue saya drafts it from your open issues and pending approvals.
How you know it worked: The dot and label on your row change immediately, and colleagues see your local time without doing timezone arithmetic.
Indonesian public holidays and collective leave days are already taken into account, so nobody waits for an answer on a day that is genuinely a holiday. Only you can set your own status.
Chapter 33
The Digital Deputy: who answers when you are away
This is not an auto-reply. The Digital Deputy reads your handover note and the context it is allowed to read, then answers as needed — only while you are genuinely unavailable.
- Open the presence popover and flip the Wakil Digital switch, or go into Pengaturan… for the details.
- Choose when it may answer: when you receive a direct message, are mentioned in a channel, or are mentioned in an issue comment.
- Pick who urgent things escalate to, and a daily reply limit. Then press Simpan.
- Watch what it has answered under Aktivitas Wakil Digital in the same dialog.
How you know it worked: Whoever contacted you gets a reply from the Digital Deputy in the same thread, and its action shows up in your inbox.
The guardrails are deliberately tight: it acts only when your status is not online, only in the scopes you ticked, at most once per thread per ten minutes, and never past your daily limit. It has read-only rights — it never changes an issue's status, never approves anything, and never answers another agent.
Chapter 34
While you were away, and handovers
Coming back from a long meeting or from leave usually means scrolling backwards. This briefing replaces that work.
- Nothing to switch on. If you come back online after more than twenty minutes away and something needs your attention, the Selagi Anda pergi dialog opens by itself.
- Its content is assembled from real events: unread inbox items, mentions, direct messages, issues that changed, waiting approvals, and Digital Deputy actions.
- Press Tandai sudah dibaca when you are done. Older briefings stay openable from the list on the left of the dialog.
How you know it worked: The briefing is relabelled as read with its timestamp, and a copy stays in the inbox.
The content is assembled from data, not guessed; one model-written summary paragraph is an extra, and the briefing is published even when that paragraph fails. If nothing important happened, no dialog interrupts you.
Part 7
Settings and billing
Appearance, cost, and plans.
Chapter 35
Appearance, theme, and language
Small things that decide whether people are comfortable using this eight hours a day.
- Open Settings → Tampilan, or use the avatar menu in the top right.
- Pick a Mode warna: Terang, Gelap, or Ikuti perangkat.
- Pick a Tema workspace from five palettes: Bystep, Graphite, Slate, Sand, or Sage. The preview is live.
- Switch the interface language between Bahasa Indonesia and English from the
⌘Kcommand box.
How you know it worked: Changes apply immediately with no save button, and the selected card is ticked.
Appearance is stored in the browser you are using and applies to every workspace in that browser — it is not a setting forced on the whole team.
Chapter 36
Cost, quota and plans
Agent work uses AI models, and that costs money. This product shows the cost as it is, in rupiah.
- Open Analytics to see cost per agent and per run for the current month.
- Set a spending cap on each agent’s page. When the cap is reached the agent stops taking new tasks instead of quietly burning the budget.
- Open Plan & billing to see the quota left this month and move up a plan if it is not enough — the next chapter covers it in detail.
How you know it worked: You can see a rupiah figure per agent, and the spending cap is saved on the agent’s page.
For scale: one ordinary agent task runs Rp 130–500 and one chat message Rp 15–50. The Free plan gives 30 tasks a month, enough to prove whether this way of working fits.
Chapter 37
Plans, invoices, and add-ons
This page answers two questions: which plan is in force, and what has already been paid.
- Open Paket & tagihan. Every member may look; only admins can change the plan.
- Set the number of paid Anggota, enter a voucher code if you have one, then press Pilih paket on the card you want.
- Complete the payment in the dialog that appears, then press Periksa status.
- Need more mid-month? Buy run, premium-credit, or chat add-ons from the add-on cards.
How you know it worked: The plan card switches to the new plan and the transaction appears in the Riwayat pembayaran table.
Only the workspace owner can cancel a subscription, and cancellation takes effect at the end of the period — the plan stays active until that date, then falls back to Free. Unduh log saves the action history as CSV.

Glossary
The terms used across the product, explained once, here.
- Workspace
- One company’s working space. Data in one workspace is never visible from another.
- Division
- A working group such as Marketing or Finance. Each one has its own channel and agent.
- Issue
- One accountable piece of work, with a status and a single assignee.
- Run
- One pass of an agent working from start to finish, with its transcript and its cost.
- Approval
- The permission an agent asks for before doing anything that leaves the company.
- Skill
- A way of working written once and reused by many agents.
- Company memory
- The set of house rules — tone, prices, prohibitions — an agent reads before it works.
- Routine
- Agent work that runs automatically on a schedule you set.
- Virtual office
- A map of rooms and desks where members are visibly present, move around, and talk informally.
- Area
- One room inside the office map — lobby, team area, meeting room, focus zone, or lounge — with its own access rules.
- Private desk
- A desk with a 3 × 3 tile quiet zone: nearby audio, nearby chat, and reactions are off for anyone passing through.
- Nearby audio
- Voice from the people closest to you in the same area. Never recorded, never transcribed, and only on when you choose it.
- Area conversation
- A short meeting opened from one office room for the people currently standing in it.
- Digital Deputy
- A read-only agent belonging to one member that answers as needed while that member is unavailable.
- Transcript
- Automatic notes of what was said in a meeting with speaker names; kept 90 days and deletable by the host sooner.
When something does not match
The twelve things people ask most often, including about the virtual office and meetings.
I assigned an agent and nothing happened.
Check two things: whether this month’s task quota still has room (Plan & billing), and whether that agent has permission for the issue. If quota ran out the task is held and runs by itself once quota returns.
The agent answered “I need more detail”.
That is the correct behaviour — it refuses to invent things. Add the missing material to the issue description (figures, product names, recipients) and ask it to redo the work in a comment.
Mentioning an agent with @ does not summon it.
The name has to be picked from the list that appears after you type @, not typed by hand. If the name is missing, that agent has no access to the channel yet.
The agent ignores a rule I told it about.
A rule written in a single comment does not carry over to the next piece of work. Save it as an entry in Company memory so it is read on every run.
My colleague cannot see the channel I mean.
A division channel is visible only to that division, and a private channel only to those invited. Add them from the members menu on that channel.
This month’s cost is climbing faster than I expected.
Open Analytics to see which agent works the most, then set a spending cap on it. A daily routine is the usual culprit — check whether it really needs to run every day.
I cannot get into a room in the office.
That room is locked, private, or full. Open the Permintaan masuk ruang panel, choose the room, and press Minta akses — the room owner will see your request. A knock expires by itself after five minutes.
Nobody hears me on nearby audio.
Check three things in order: you have pressed Nyalakan mikrofon (listening alone never makes you audible), you are within six tiles of that person in the same area, and the area is not a private room, a locked room, or a focus zone — nearby audio is switched off in all of those by design.
My guest cannot get in even though I sent the link.
Every guest visit needs fresh approval, and the host has to be connected and present in that room. Check the check-in list and press Terima. Remember too that a link is valid for 24 hours and a single visit lasts at most two hours.
My meeting recording is gone.
Three common reasons: the host disconnected before the recording finished, so the unfinished file was discarded; the recording is older than 30 days; or it was a private desk call and the desk has since been released or changed hands — desk recordings are deleted when that happens. Download the MP4 while it is there if you need it.
The meeting reminder never appeared.
Check the Pengingat rapat internal group in Settings → Notifikasi — while it is muted the reminder's one chance is still used up and is not re-sent after you unmute. Make sure you are actually invited to that meeting, too; a division invitation only counts while the division is still active.
My Digital Deputy is not answering.
It stays quiet on purpose while your status is online. Make sure your status is not Otomatis currently reading as online, that the scope is ticked (DM, channel mention, or issue comment), and that your daily reply limit is not used up. It also answers only once per thread per ten minutes, and never replies to another agent.

The Free plan is enough to run this entire guide from start to finish without entering a card.
